Director of Facilities (Posted January 14th, 2013)

SUMMARY: The Facilities Director will work directly with the Chief Operating Officer, Chief Executive Officer and other members of the Museum Team to ensure the overall maintenance of the current physical museum facility. Simultaneously, this position will be responsible for planning and oversight of the New Museum facility’s various electrical, HVAC, mechanical and biological life support system installations and commissioning. The Facilities Director will supervise and effectively deploy the current Facilities Team including Maintenance Technicians and Custodians and plan for the transition to the New Museum currently under construction. The Facilities Director is responsible for coordinating all Emergency/Disaster planning and Museum Safety/Security planning, and preventative maintenance efforts.

SPECIFIC RESPONSIBILITIES:
General

• Plan, organize and manage the activities of the Institutional Facilities on a 24/7 basis including building, grounds, landscaping and offsite support and administrative facilities
• Prepare and manage assigned budgets. Analyze monthly budget reports of operating and capital costs to ensure accuracy and update forecasted expenditures. Recommend capital expenditures and revise in line with established guidelines and procedures
• Seek effective and efficient ways to meet facility and exhibit demands in light of guest activity and animal requirements
• Manage an effective preventative maintenance program and report on its progress. Direct staff ensuring compliance with all accreditation and regulatory bodies, including OSHA, AZA, AAM, USDA, state and local agencies
• Participate in the negotiation of construction contracts, professional design services and procurement contracts ensuring compliance with all regulatory requirements, internal policies and acquisition of necessary permits.
• Supervise Facilities Team by creating schedules, performing performance evaluations, interviewing and selecting new hires, conducting trainings, and recommending disciplinary actions or terminations.
• Assure proper use and function of all museum electrical, mechanical, HVAC and biological life support systems.

• Responsible for planning museum safety, security, emergency and disaster response.

New Museum

• Oversee the final design, installation and commissioning of all major mechanical systems for the New Museum construction including Electrical, Plumbing, HVAC, Aquarium Life Support (LSS), Exhibits, Elevators, Food Service, Security and Building Controls.
• Draft Standard Operating Procedures, Operating Manuals, Safety Plans, and Disaster Plans in time for opening of the new facility and lead the training of staff on all procedures.
• Work with COO, HR Manger and CFO in the planning and hiring of the Facilities staff for the new museum.
• Initiate appropriate service contracts for all new equipment.
• Initiate a Preventative Maintenance database for all new museum equipment and prepare and maintain an inventory of spare parts.
• Liaise with Living Collections Staff on the operations and commissioning of the Aquarium LSS systems, Hydroponic systems, Gardens and Green Roof
• Serve as the institutional Sustainability Coordinator and manage energy use, recycling/waste management, water use, pursuant to LEED and internal requirements.
• Initiate and maintain all appropriate Environmental and operational permits and certifications such as Fire Protection, Elevator, Wastewater, Stomwater, etc.
• Establish and lead an active institutional Safety Committee.
• Liaise with appropriate contacts at Perez Art Museum, Miami Dade County and City of Miami etc. on the coordinated operations of the museums and Museum Park.
• In coordination with the Horticulturist, initiate an appropriate maintenance plan for the grounds, landscaping, planters and other horticultural features.
• Plan and manage the physical move to the New Museum and other offsite facilities and work with Miami Dade County to transition the current facilities back to their control.

JOB/EDUCATION REQUIREMENTS:
• Bachelor’s Degree in Engineering, Business Administration, Construction Management or other related field or an equivalent combination of education and experience.
• Record of progressively responsible experience with 8 to 10 years experience in facilities management in a similar complex building/mechanical environment. At least 5 years at a supervisory level.
• Experience with complicated process piping systems, chillers, large horsepower pumps, corrosion management, building automation systems, preventative maintenance and project management software,
• Fluency in spoken Spanish language required
• Experience preparing RFP’s and assessing competitive bids
• Valid First Aid and CPR training or ability to obtain within 3 months of hire
• Valid Florida Drivers’ License
• Knowledge of Microsoft Office Suite
• Solid leadership abilities with demonstrable supervisory skills including effective delegation and assuring accountability.
• Ability to work under pressure, juggle multiple projects, meet deadlines, and work collaboratively with other Executive Team members and other staff.
• Demonstrate a high level of organizational skills, self-motivation, written and verbal communication, effectively sharing information across and between multiple disciplines and reaching audiences with varied technical and organizational knowledge.


WORKING CONDITIONS AND PHYSICAL EFFORT:
Work is done in a variety of environments and conditions including offices, construction sites, mechanical rooms, confined spaces, etc and will be expected to use a variety of special equipment such as a ladders, catwalks, man-lifts, and other circumstances that include increased physical risk and exposure to adverse environmental conditions. This position requires lifting of heavy objects in excess of 75 lbs, frequent bending, walking, climbing, reaching, and working with machinery that requires acute vision and hand dexterity
